There’s a lot that goes into creating a birthday party schedule. From the venue to the menu (and everything in between), it’s enough to make any parents head spin!
If you’re planning on booking a professional children’s entertainer, then you’ll need to figure out the best time for entertainment.
In this article, I’m going to help you do just that!
Some times are better than others, and I’m going to help you decide so that your child’s party flows smoothly and everyone has a fun time.

It’s a good question, so let me introduce myself.
My name’s Evan, or ‘Magic Evan,’ and over the past 10 years, I’ve performed for over 3,000 birthday parties.
I’ve also earned a Masters Degree in Educational Theater from NYU and, as a facilitator, I’ve shaped group dynamics in some of the most challenging classrooms and communities in NYC.

Let’s start with a worst case scenario (which is sadly really common).
The invitation says the party starts at 11:00 am, and the entertainer is booked to start at 11:00 am.
10:45 am: The entertainer arrives so that the performance can begin on-time
11:00 am: The guests have not arrived yet
11:05 am: Two guests show up.
11:15 am: 5 more guests arrive
11:30 am: Everyone has arrived!
Unfortunately, the entertainer has to pack up and leave for the next event.
Cue tears, disappointment and frustration.
If I can do anything to stop one of the greatest mistakes that has been proven time and time again, then I will advise you to avoid scheduling entertainment for the party start time- even if this means shortening the show, or skipping entertainment all together.
Most special gatherings that run smoothly – from birthdays to Broadway shows – allow for a buffer between the start time and the show-time.
The show-time may vary depending on the event logistics, but a good show-time takes into account
In my experience, a 15 minute buffer is not enough.
Late comers will interrupt the performance, and half of the guests will miss out and leave disappointed.
My recommendation? Plan entertainment at least 30 minutes after the party starts, and either before or after the children eat.
